Terms of Service

These terms cover use of rentroaddog.com and the rental of our vehicle and equipment. Your specific rate, dates, and any terms we agree in writing are set out in your booking confirmation, and those take precedence over anything general on this page.

1. About this agreement

"We", "us", and "Road Dog Rentals" refer to the business operating at rentroaddog.com. "You" refers to the person or organization booking a rental. By submitting a booking request or entering into a rental with us, you agree to these terms.

2. This website

Prices and estimates shown on this site are estimates only and do not constitute a binding offer. Availability is not confirmed until we confirm it in writing. We may correct pricing errors and update rates at any time; the rate that applies to you is the one in your booking confirmation.

You may not use this site to submit unlawful, infringing, or malicious content. Files you upload must be material you have the right to share with us.

3. Booking and payment

How bookings work

You submit a request, we confirm availability, and we send an invoice. Dates are not held until the booking invoice is paid.

Your quote is made up of some combination of the following:

Invoicing

Longer rentals are invoiced weekly across the duration of the trip, with a final invoice at the end. Invoices are due on the terms stated on each invoice. We may suspend or end a rental where invoices go unpaid.

4. Cancellation

Cancellation terms — including any deadline for cancelling and whether the trip deposit is retained — are set out in your booking confirmation. Those terms govern your rental.

The insurance fee is non-refundable once a booking is confirmed. The damage deposit is refundable as described below. The trip deposit secures your dates and is applied toward your balance when the rental goes ahead.

If your plans change, contact us as early as you can. We will always try to work with you on rescheduling where our calendar allows.

5. The damage deposit

The damage deposit is held against loss or damage to the vehicle, the trailer, or their contents, and against costs arising from misuse. After drop-off we inspect the vehicle and return the deposit where no damage has occurred.

Where damage exceeds the deposit, you remain responsible for the balance. Where the vehicle is returned excessively soiled beyond ordinary use, additional cleaning charges may apply on top of the standard cleaning fee.

Instruments, production equipment, merchandise, and personal belongings are carried at your own risk. We strongly recommend you carry your own insurance for your gear. We are not responsible for loss, theft, or damage to your property, except where caused by our negligence.

8. Delays and things outside our control

We do everything we reasonably can to keep a tour moving, including direct support from the owner. But we are not liable for losses arising from mechanical failure, accidents, weather, road closures, traffic, or other events outside our reasonable control — including missed shows or consequential business losses.

Where a rental cannot proceed for reasons within our control, we will refund amounts paid for the affected portion of the trip.

9. Limitation of liability

To the fullest extent permitted by law, our total liability arising out of a rental is limited to the amount you paid us for that rental. We are not liable for indirect, incidental, or consequential damages. Nothing in these terms limits liability that cannot lawfully be limited, including for death or personal injury caused by negligence.

10. Accounting integrations

We use Intuit QuickBooks to generate and send invoices. Any software we use to connect our booking system to QuickBooks is for our own internal accounting and is not offered to you or to the public as a product. Your information is handled as described in our Privacy Policy.

Our handling of personal information is described in our Privacy Policy, which forms part of these terms.

12. Changes and governing law

We may update these terms; the version in effect when you booked governs your rental. These terms are governed by the laws of the state in which Road Dog Rentals is established, and any dispute will be handled in the courts of that state.
